The usage of audio files answering machine is a central aspect of the telephony inside the Gigaset Fusion. There are system announcements available which can be used, but individual announcements will make it your personal devicefeature in a professional environment. The Fusion offers multiple options around the answering machines as local AM, network based AM, visual voicemail (Host device), audio guided menues, etc.

General information

The audio files answering machines can be edited in the Web-interface in Settings → Telephony → Audio pageVoicemails. Following actions are possible:

  • Local voicemailbox
      • Record new announcement
      • Upload new announcement
      • Play the announcement (via Fusion loudspeaker)
      • Edit the file-name
      • Delete the announcement
        • Add new voicemailbox
        • Activate/deactivate voicemailbox
        • Edit the voicemailbox
        • Delete the voicemailbox
      • Network voicemailbox
        • Activate/deactivate voicemailbox
        • Edit the voicemailbox
        • Delete the voicemailbox

      The admin can add up to 5 local voicemailboxes. In addition for each external VoIP connection a network voicemailbox is created.It is recommended to create a plan what kind of announcements are required for call divert rules, answering machines and the IVR. That makes it much easier, as then the recordings can be done all at once.

    Announcements

    Record new announcement

    Recording a new announcement can be triggered on several occasions on the Fusion display, e.g. it is possible during the setup of the IVR or answering machine to record a personal announcement. In most cases, the announcements are recorded via the telephony audio menu. In the Web-interface the admin can select also the recording-device.

    Once the recording is started it is required to end the recording by pressing '#' on your keypad (or 'Done' on the Fusion display). The recording is directly listed in the announcements-list with a timestamp.

    Edit announcement name
    In order to remember the content of the audio recording it is higly recommended to edit the file-name directly after recording!

    It is also possible to upload existing audio files to the Fusion. Supported are MP3, OGG, WAV files

    DECT handsets or SIP devices.

    • Fusion display
      • In the device details the user can select one or more voicemailboxes he would like to see in the messages-overview
      • The Fusion host is the only device which can show more than one answering machine

        • Phone interface:
          • Pressing Menu → Messages → select voicemailbox
          • New messages are displayed in bold font
          • Pressing on one of the message will play back the message on the Fusion device via loudspeaker
          • Via the options on the right side you can:
            • Start a call to the caller
            • Play the message
            • Save the number of the caller
            • Block the number of the caller
            • Select a connection to start the call to the caller
            • Delete the Message
          • If there is a new message, the message-list can also be accessed via the Message-widget or the blinking MWI-key
        • Web interface:
          • In the dashboard new voicemails are indicated in the Status List widget

          • By clicking on the "New voicemails" item, the user will be forwarded to the voicemail page
          • New messages are shown in bold font

          • By clicking on one of the AM-icons, the according message will be played back on the Fusion host device. This is only possible if the device is in idle (no active call).
          • Via the options the user can
            • Start a call to the caller
            • Save the number of the caller
            • Block the number of the caller
            • Select a connection to start the call to the caller
            • Delete the Message
        • Dialing into the audio guided voicemail system:
          • Each voicemailbox has an individual number, starting with **81 for the first local voicemailbox
          • These numbers can be dialled by every internal device and it is possible to program a function key with that number
          • There are limited options available in the audio voicemail system
    • DECT handsets / SIP devices
      • In the device details the user can select one voicemailboxe he would like to retrieve the message notification
      • In the device/handset itself, the according AM-number (starting with **8x) must be programmed. The correct number can be found in the Web-interface overview in Settings → Telephony → Voicemails

          • Each voicemailbox has an individual number, starting with **81 for the first local voicemailbox
          • These numbers can be dialled by every internal device and it is possible to program a function key with that number

    Add new voicemailbox

    For adding a new voicemailbox, the admin can start the wizard via the Phone- or Web-interface.

    What is editable during the wizard?

    • Name of the Answering machine/Voicemailbox
    • Protection PIN (for access via **8x-number, optional)
    • Announcement
      • Selection
      • Recording of new individual announcement
    • Selecting the recording length
    • Assign devices to MWI notifications
      Later, the assignment needs to be done in the device details via the Web interface.

    Error message when trying to delete announcement which is already in use:

    DECT handsets or SIP devices can only receive MWI notifications from 1 voicemailbox. If they are already assigned to another voicemailbox, the assignment will be overwritten.

    Edit voicemailbox

    The language of the voicemailbox system (audio guidance, default announcements) is following the Phone interface language. Changing the PhoneUI language will change also the audio language. If there are no country-specific prompts available, the system is going to use the English voice prompts.

    After creation of the local answering machine, the admin can edit all details via the Web interface.

    AUDIO FILES: Before editing the answering machine it is recommended to edit the announcements in the Audio file settings and rename the files accordingly. That makes the selection easier during the configuration of the answering machine.

    Name

    The name of the voicemailbox, which is used in other tables and menus, to indicate the correct answering machine.

    PIN

    The PIN can be used to protect the access to the voicemailbox, when someone is dialling into the audio guided system via **8x. If it is active, the caller needs to enter the PIN, before accessing the message-system.
    By default the PIN is deactivated.

    Advisory

    The advisory is used, when the recording option for the voicemailbox is deactivated. Here it is also possible to record a new announcement. After successful recording, the announcement is available in the dropdown-list.

    Activate Recording

    This option switches between advisory-only to recording and de-/activates the according elements in the Web interface.

    Announcement

    This selection configures the announcement when the recording is active. By default a pre-defined system-announcement is played.

    Message length

    Configure here the maximum length of voicemail messages the caller can leave in the voicemailbox. By default the recording is limited to 2 minutes per message.Image Removed

    Network voicemailbox

    For each external VoIP connection a network answering machine is created. During the wizard it is possible to enter here the default number of that Net-AM.

    Edit voicemailbox

    The Name of the network voicemailbox is identical with the VoIP connection name and is not editable.

    Phone number

    This phone number is used to dial into the network voicemail system. When a user is e.g. dialing **86 for the first network AM, the Fusion will automatically use the correct external line and dial the according net-AM number that was configured.

    Music on Hold

    By default a Gigaset music is played, when a user is put on hold by an internal user.
    For individualization, it is possible to upload an individual Music on Hold file to the system.

    It is possible to upload multiple MP3 files with the total maximum amount of 10MB.

    The files are played after each other and always starting at the first file.
